PixelVerse Forms (“the Service”) is operated by Perspective Global Pty Ltd (ACN 697 873 368, ABN 34 697 873 368) (“we,” “our,” or “us”). This Privacy Policy explains how we collect, use, store, and share information when you use the Service - whether as a form creator (account holder) or as a respondent (someone who submits a form).
Who This Policy Applies To
- Respondents - people who complete and submit forms powered by PixelVerse Forms, without creating an account.
- Form creators - people or organisations who register an account to build, host, and manage forms.
When you submit a form, the form creator is generally responsible for how your personal information is used after it reaches them. We act as a service provider that receives, stores, and routes submissions on the form creator’s behalf. The sections below describe what we collect in each role.
Information We Collect From Form Submissions
When someone submits a form, we collect:
- Form responses - whatever fields the form creator configured (for example name, email, phone number, message, or file uploads). This is information you voluntarily provide.
- IP address - used for spam protection, rate limiting, security, and stored with the submission record.
- Approximate geographic location - country, region, city, and approximate latitude/longitude derived from your IP address via our hosting provider’s edge network (Vercel). This is an estimate based on IP geolocation, not precise GPS location from your device.
- Browser and device metadata - user-agent string and derived categories such as browser name, operating system, and device type (mobile, tablet, or desktop).
- Referring page - the URL of the page that linked to or embedded the form, when your browser sends a referrer header.
- Submission timestamp - when the submission was received.
We do not place advertising cookies, third-party analytics pixels, or cross-site tracking scripts on public form pages. Metadata above is collected server-side when your submission is processed - not through client-side tracking beacons.
How Submission Information Is Used
- To deliver your submission to the form creator (including email notifications and optional automated receipts).
- To store submissions securely so the form creator can view history, search, and export them in their dashboard.
- To provide aggregated analytics to the form creator (such as submission counts, geographic distribution, device and browser breakdowns, referrer sources, and trend charts).
- To detect and reduce spam and abuse (honeypot fields, per-IP and per-email rate limits, and related safeguards).
- To operate, secure, and improve the Service.
We do not sell, rent, or use submission data for our own advertising or marketing. We do not build advertising profiles about respondents.
Information We Collect From Form Creators (Accounts)
If you register for an account, we additionally collect:
- Account details - such as your email address and authentication credentials (passwords are stored in hashed form; we do not store plain-text passwords).
- Form configuration - form names, fields, notification settings, email templates, and related content you create in the Service.
- Session cookies - essential cookies used to keep you signed in and protect your account. See “Cookies” below.
- Technical logs - standard server and security logs associated with your use of the dashboard (for example request timestamps and error records), as needed to operate and secure the Service.
Cookies
- Public forms: We do not use non-essential cookies on hosted public form pages for tracking or advertising.
- Authenticated areas: When you sign in as a form creator, we use strictly necessary session cookies (via our authentication system) so you can access your dashboard securely. These cookies are required for the Service to function for logged-in users.
Who Can See Your Information
- Form creators can access the full content of submissions to their forms, including technical metadata (IP address, location estimate, browser/device details, and referrer) shown in their dashboard.
- Our subprocessors process data only as needed to operate the Service - currently including Neon (database), Resend (email delivery), and Vercel (hosting and edge infrastructure, including IP-derived geo headers).
- We do not share submission data with other third parties except as required by law or as described in this policy.
Form creators may export, forward, or use submission data according to their own policies and legal obligations, which are outside our control.
Data Storage and Processing
- Submissions and account data are stored securely with Neon and may be transmitted via Resend for email delivery.
- Our application is hosted on Vercel. Geographic metadata is derived from IP addresses at the edge using Vercel-provided headers - we do not run a separate geolocation API against respondents.
- Our infrastructure uses industry-standard encrypted connections (encryption in transit and at rest as provided by our third-party providers).
- Some providers store or process data on servers located outside Australia, including in the United States. By using the Service, you consent to your information being disclosed to and processed by these providers overseas for the purpose of operating the Service.
Data Retention and Deletion
- Submission data is retained for as long as the form creator’s account and forms require it to operate the Service, unless deleted earlier by the form creator or by us following a valid request or account closure.
- Respondents may contact us at support@pixelverse.tech to request access to, correction of, or deletion of information we hold. We will action requests where we can verify the request and locate the relevant records. We cannot guarantee deletion from a form creator’s own copies (for example emails already delivered to their inbox).
- Form creators can manage and delete submissions through their dashboard where the product provides that capability, or by contacting us.
Security
- We rely on trusted providers such as Neon, Resend, and Vercel, which use secure, encrypted connections to protect data in transit and at rest.
- We implement reasonable technical and organisational safeguards to help protect your information. However, no system is completely secure, and we cannot guarantee absolute security.
Your Rights
- You may contact us at any time to request access to, correction of, or deletion of personal information we hold about you, subject to applicable law and our ability to verify your identity.
- For information primarily controlled by a form creator, you may also need to contact that form creator directly.
- If you are in the European Economic Area, United Kingdom, or another jurisdiction with additional privacy rights, you may have rights to object, restrict processing, or data portability where applicable. Contact us and we will respond in accordance with applicable law.
- If you believe we have breached the Australian Privacy Principles, you may lodge a complaint with us at support@pixelverse.tech. We will investigate and respond within a reasonable period. If you are not satisfied with our response, you may refer your complaint to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Form Creators - Your Responsibilities
If you use PixelVerse Forms to collect information from others, you are responsible for:
- Telling respondents what you collect and how you will use it (including that technical metadata such as IP-based location and device information is captured automatically with each submission).
- Obtaining any consent required by law before collecting personal information.
- Complying with applicable privacy, spam, and data-protection laws in the jurisdictions where your respondents are located.
Our hosted forms link to this Privacy Policy by default. You should ensure your own privacy notice or collection statement covers your specific use of respondent data beyond what we describe here.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated “Last updated” date. Material changes may also be communicated through the Service where appropriate.
